The transformations of the education system conducted by the Indonesian Ministry of Education, Research, and Technology (Kemdikbudristek) require fast and accessible information dissemination. The current state of its main website, which consists 2000-ish inconsistent domains managed by different stakeholders, calls for a complete overhaul of its information system and interactions.

How might we streamline and enhance the website to support user seamless information seeking journey?

The goal is to redesign the website that match user behavior and their way of working. Since now the website has unsystematic categories that have complex information and are generally not intuitive in terms of user experience.

Internal workshop with Indonesian ministry of education

Context Gathering

In this project my team and I didn’t jump right away to have a convo with users. We began with a workshop with all 9 ministry main departments, to understand their agenda and way to disseminate informations.

This workshop isn’t solely for context gathering thingy, but also to gain buy in form all stakeholder. As a results the workshop also sparks convo amongst them to align on a shared vision for the website.

FGD sessions with 8 target users

Research Discovery

To achieve our main goal the next things is to understanding our user behavior and the gap between users actual needs and what currently provided. We spoke with 8 target users (Government staff, lecturers, researchers, teachers, students, parents, media, scholars, and cultural practitioners) FGD sessions that split into two phase.

First phase with explorative approach, to gather user preferences while seeking information and determine what information is essential to them.

Second phase with generative approach, to generate ideas for information architecture concept and interaction pattern.

User behavior on seeking information

From research discovery we found that most of our users use website as their last resort and source of credibility. They turns out rely on other information channels like social media, internal messaging groups on WhatsApp, or organic search through Google before visiting the website.

Given the diverse range of target users and behavior, we manage to spot a certain pattern amongst them. Then we define the website following this foundations.

Focusing on latest and general information

We put new website direction like a hotel lobby or concierge, that provide general and essentials information upfront, Then guide them with a key to the information they need.

Design Approach

We define the essentials using 20/80 pareto principle. Found 20% most valuable informations for 80% targeted users. Adjusting it with users priority and ministry main agenda.

To achieve hotel like experience I design the Information Architecture with standardize database model and system tag, so it can be optimized for users to look for the right informations easily.

The biggest challenge here is to translate the Information Architecture to avoid user cognitive load

Answering that, we staggered the navigation to ensure users could get the glimpse of content provided by the website. Without feeling lost while accessing it through indirect flow like social media or organic search.

Our user behavior which might be less tech savvy also affect my design decisions. Since the website need to cater diverse users target, I design the web with modular approach utilizing specific grid system. That help keeping the consistency and fasten users adaptation process with the website.

In addition I also avoid using drop down and accordion to minimize indirect and hidden information.

A quotes from George Lois on his book “A Damn Good Advice” really explains the whole project settings and mindset,

It’s not how short you make it; it’s how you make it short.

This project really helps me to realize that we need to be contemplate our things before gave it to others. Like adjusting the concept so it wouldn’t make users felt overwhelm, or even trimming down on which information that we put on the website. Focus on the most important things, in the most concise way.
